Time Management 101: Time Management For Families

Successful time management results in successful stress management. And in today’s busy world, it’s especially important for families to find quality time to spend together. Discover 6 easy time management tips you can incorporate today. Teach your children to form good time management habits now so they’ll become better students…and better leaders!

“Successful time management results in successful stress management.” Colleen Kettenhofen

The following time management tips for families are the same ones I discussed as a featured guest on the television talk show A.M. Northwest. These are simple, basic, easy-to-follow time management tips for both parents and children. And they are the same time management tips that have worked for me in my business as a motivational speaker and author:

1. Have white dry erase boards personalized for each person: Place one in the kitchen and one in each bedroom. The benefit of white boards in the kitchen and in each bedroom is that you and your kids will constantly see them and be reminded of what needs to be accomplished.

2. Write down tasks with specific time frames for each parent and child: Set aside specific times and stick with them. For example, you would write on the white board, “Brandon and Chloe, homework 6:00 p.m. to 7:00 p.m.” And for the mom or dad, “Mom/Dad cook dinner 6:00 p.m. to 6:45 p.m.” and so forth. This way you are constantly reminded of what to do and when. You will get around to completing these tasks sooner rather than later because by “seeing” them all the time, you’ll want to cross them off your list. Erase the tasks after completing them so you no longer have to look at them!

3. Color code for each family member: It’s easy to visualize who is supposed to do what when each individual has their own color. A lot of teams utilize this same technique in the workplace to help with time management.

4. Clear off your desk or work area: This helps you and your kids to clear out clutter so you can concentrate single-mindedly on those projects such as paying bills or doing homework.

Time management rule number one: do the thing you like least first.

5. Do the thing you like least first and plan a reward such as a fun family activity for afterward: We all have tasks that we have to do that we don’t want to do. It’s easy to procrastinate. Research points to the fact that the longer you procrastinate, the harder it is to get motivated. The hardest part is just getting started. And once you’re done, you feel so much better, lighter and happier. You and your family will feel deserving of a reward afterward such as fun time watching TV, playing games, or attending a Saturday picnic.

6. Be a positive role model: Teach your children to form good time management habits from the beginning. When your kids see you as self-disciplined and overcoming procrastination by doing things you’d rather not, it reinforces that behavior in them as well. It sets them up later in life to be good parents themselves, and better leaders at school and in the workplace.

Keep in mind that everything you procrastinate today only compounds tomorrow’s pressure. Decide what you want. What tasks must be done in order for you and your family to accomplish your goalsHealth Fitness Articles, dreams and aspirations? Act now. Don’t wait another day. The future is now.

But, if you are a manager, you should be updated and read relevant literature, particularly new books which provide general information, not only in order to keep up with your profession and colleagues, but also to get new ideas and insights, which you cannot acquire from within your workplace. You can of course carry out the change your way, by implementing a trial and error method until you find the best solutions. To eliminate stumbling blocks however, this should be performed after studying more, and learning what others did. Time Management Training: Organize Your Time With The Building Blocks Of Productivity

What lessons you can learn from small children! One day I was watching two youngsters, ages 3 and 5, playing with “bricks” constructed out of heavy cardboard. The brick blocks came in three sizes: a 10” x 16” rectangle, a 10” square, and the standard 3” x 10” brick size. Over time they spent hours creating structures. At the beginning there was no understanding of larger pieces providing a stronger foundation for the smaller pieces and so things would come tumbling down without using all of the bricks. With lots of trial and error the children discovered that if they started with the biggest size, they were more likely to be able to use all of the bricks. An effective daily schedule can also be constructed with three types of blocks. How much you can pile on (your productivity) each day depends on how well you organize your time. Large Blocks – Your Day’s Foundation Make your day’s foundation an uninterrupted block of time when you can focus on difficult, involved projects. The ideal length is an hour and a half, approximately twenty percent of an eight-hour day. If you cannot possibly find that length of time, try for an hour. Even with 45 minutes of uninterrupted time you can get a significant amount of work completed because you are not requiring twenty additional minutes after each interruption to get back into the “flow.” As you develop this routine, aim for the hour and a half each day. During this time, do not answer every phone call. Turn off your general email alerts. If you want to ensure that a certain person or message gets through immediately, set up your software rules to notify you of that specific message. When you can block twenty percent of your time, you will accomplish about eighty percent of your work for the day. You recognize instinctively that having uninterrupted time is effective when you arrive at work an hour early or stay for a couple of extra hours at the end of a day, knowing you will get so much done in that quiet time. Why not become more productive by including that quiet time within your day instead of adding extra hours in order to get the same amount of work done? Medium Blocks (Grouping Blocks) — Multi-Tasking Isn’t Always The Best Option Group as many like activities as possible since you are four times more productive when you can focus on one type of task rather than switching back and forth among assorted tasks. Constant multi-tasking slows you down. Activities that can be grouped include returning non-urgent telephone calls, processing your email inbox, filing, and reading. The length of this session depends on the work. If you average about five phone calls at a time, you may only need to block out ten to fifteen minutes. With email, you might need to spend thirty minutes at a time. Any of these can be repeated during the day. For instance, you might quickly check your email first thing in the morning for ten minutes to handle urgent issues, then spend thirty minutes before lunch and thirty minutes again later in the afternoon. Stick to the amount of time that you have originally allotted rather than letting it trail on. That will keep you focused on the task at hand and will increase your productivity. Move what you do not complete to the next block of time. Small Blocks – The New Items and Lower Priority Tasks To Be Handles New items and lower priority tasks can be worked on between the other blocks. These might include requests for help from a colleague, quick answers to questions, filling out forms, and other project components that did not fit into your major blocks, but that you still have time to work on. Structuring each day starts with locating a space for that large block, followed by several medium blocks of grouped activities. Small blocks are then added. If you do the reverse, which means coming in to work and clearing out the small items before you find a time for the most important work, you may wrap up the day without handling your priorities. Why spend extra hours in the evenings on work that you could have fit into the day with the right construction of your schedule?

Why Do You Need Time Management?

Good Time Management Skills

I had the opportunity to facilitate a time management workshop for a group of social workers in Charleston SC while working for a company that I got my feet wet in the motivational business. My first thought was that this group was tasked to come to a required seminar and give up their valuable time.

I am a huge proponent of effective time management techniques but initially did not see an immediate importance to this group. What I did not realize was that these professionals and I do mean professionals are probably the MOST time challenged individuals that I may know of. They have to get to work very early and leave really late; in between they have to deal with people in need and liaison with other programs/organizations to help people with all sorts of social needs. Probably the most challenging thing they had to conquer was setting and classifying priorities because their priorities were tied to many people that needed their help seemingly at the same time.

Time Management Tips And Strategies

What they were about to learn would change their time management habits for good IF they would stick to a system. The system is the key to consistent and effective time management and if you veer from your system and try to wing it you will lose every time. Just when you think you may have some major leeway and get off track you will certainly lose your plan. Time is so slippery – it’s like taking your eye off a toddler for a moment and the next thing you know there’s trouble. So how do you stay on course and accomplish the things you set out to do? How many times at the beginning of the week to you have a list of goals that you mentally set out to accomplish but at the end of the day or week you may only reach less than 50%? One of the main reasons this happens… It’s because those goals that you had were not defined into S.M.A.R.T goals. By SMART goals I mean realizing if they are Specific, Measurable, Actionable, Realistic and Time Specific. Using the S.M.A.R.T Goal criteria will help you determine if your goals are in fact valid and achievable. This is the formula you have to use to accomplish your goals successfully. In the case of the Social Workers (no pun intended) they had to define each goal with this formula in order to prioritize their situations to determine immediate need from the needs that could wait. Prioritizing is the next step to successful time management, yes once you have defined a valid goal then you must prioritize with the highest urgency first then trickle down to the things that can be subsequently. There may be more defining and refining of your goals in terms of the activities you will use to achieve them which will also help you prioritize.

We are often high-jacked by many distractions throughout the day both internal and external but if you stick to a good time management system you can and will accomplish almost anything you set out to do.

The people who are successful in life are the ones who know how to manage their time efficiently and effectively, without wasting their time and with knowing how to plan and program their days.

Many people would tell me: “if I plan a lot, I am losing my freedom; I love being taken where the wind blows and not worrying every day about my to-do list so that I can really enjoy life”. It is indeed true if you enjoy life. However, if you spend that time regretting the moments when you did not make the most out of your life, or if you feel guilty because you are not doing what you are supposed to do, then it is useless.

If you waste your time because you have never reached an important level of success, then again that is not freedom. So proper planning and time management are necessary for you to reach your goals.

If you plan well, you will be able to manage your time better and waste less time. It is extremely important to manage your time, because a good management of time means that you will reach your goals faster, you to feel better and, thus, have more self-esteem as you are in control of your time.
